When a customer pays too much

If a customer pays more than the job costs, the job shows Overpaid and you choose what happens to the extra.

Choose what to do

On the job, Payments & deposits shows how much was overpaid and three buttons:

  • Refund the extra: pays back only the amount over what the job costs. The job stays paid. See Refund a payment.
  • Keep as credit: the extra is kept for the customer’s next job.
  • It was a tip: the extra is recorded as a tip, on top of the bill.

Using the credit later

  1. On the customer’s next job, Payments & deposits shows how much credit they have and where it came from.
  2. Tap Use it here to take it off this job.

To give the credit back instead, go to Contacts, tap ⋯ on the customer and tap Pay back credit. Enter the amount and how you’re paying it back.

Tips at the time of payment

When you record a payment that’s more than is owed, the app warns you. If part of it was a tip, record the bill amount as a Payment and the extra as a separate Tip. A tip doesn’t change the balance and is counted on its own under Tips.

Good to know

  • Credit kept for a customer isn’t income yet. The Reports tab on Payments shows it on its own line.
  • A credit note on an invoice that’s already paid also leaves the customer in credit with you.
  • Only the Owner and Office see Refund the extra.
