Record a deposit or payment
Record money you’ve taken by cash, cheque, card or bank transfer, so the job and invoice show what is paid and what is still due.
Card payments the customer makes online are recorded for you. See Take card payments.
From the job
- Open the job and go to Payments & deposits. When the job is waiting for money, the bar at the bottom shows Take deposit or Take payment and takes you there.
- Tap Record payment.
- Enter the Amount, or tap a quick amount such as the deposit or Full balance.
- Check the Date. Choose the Payment type: Payment, Deposit, Tip, Refund or Write-off / adjustment.
- Choose the Payment method: Bank transfer, Card, Cash, Cheque or Other.
- Add a Reference, such as a cheque number, if you want one.
- To email a receipt, switch on Send payment receipt via email and tap Record & send. Otherwise tap Save.
From anywhere else
- On Payments, tap New Payment and choose the job or invoice it is for.
- On Invoices, tap ⋯ on the invoice and tap Record payment.
- For bank transfers, From bank statement on the Payments page reads a CSV statement from your bank and suggests which invoice or job each payment is for. Nothing is recorded until you tap Record.
Good to know
- A write-off takes an amount off what the customer owes without any money changing hands. It isn’t counted as money received.
- A tip is extra on top of the bill. It doesn’t change the balance and is counted on its own under Tips.
- If the amount is more than is owed, the app warns you before you save. See When a customer pays too much.
- A deleted payment stays in the list crossed out, with who deleted it and when, so everyone can see what happened. It no longer counts towards the balance.
- A cancelled invoice can’t take payments. Reinstate it first.
Who can do this? On the Team plan, the Owner, Office and Sales record payments. Only the Owner and Office can refund.
