Issue a credit note
A credit note lowers what the customer owes on an invoice you’ve already issued, and gets its own number.
Use it when the price comes down or part of the job is cancelled, for example the hall wasn’t fitted. If you’re paying money back, refund the payment instead: the app makes the credit note for you. See Refund a payment.
Issue one
- Go to Invoices, or the job’s Documents › Invoices.
- Tap ⋯ on the invoice and tap Issue credit note.
- Enter the Amount (incl. VAT). It can be up to what is left to credit on the invoice.
- Enter the Reason (printed on the credit note), for example “Hall not fitted”.
- Leave Email it to the customer on to send it straight away, then tap Issue credit note.
Find your credit notes
Open Invoices and tap the Credit notes tab at the top. Tap a credit note to open its PDF or send it again. The invoice also lists its credit notes.
Good to know
- If the invoice is already paid, a credit note without a refund leaves the customer in credit with you. The app warns you first. See When a customer pays too much.
- Credit notes can’t be made on draft or cancelled invoices.
- Each business profile numbers its own credit notes, for example CN-0001. A credit note made offline gets its number once it reaches the server.
- Change the email that goes with it in Settings › Emails under Credit note email.
Who can do this? On the Team plan, the Owner and Office.
