Set up card payments

Connect a payment account once, and customers can pay deposits and invoices online by card, Apple Pay, Google Pay or their banking app.

Who can do this? The Owner. The Owner can let Office do it too by switching on Office can change where your money is paid in Settings › Card payments.

Connect a payment account

  1. Go to Settings › Card payments. On a phone, Settings is on the You tab.
  2. Tap Connect a payment account.
  3. Enter the Business name: the legal business, such as the company’s registered name or your own name as a sole trader. Choose the Country and whether you’re a Sole trader or a Limited company.
  4. Carry on to the secure card payment pages. They ask for your business details and bank account, and check your ID. It takes about 10 minutes, so have your bank details to hand.
  5. Back in the app, the account shows Ready to take payments.

Choose it on your business profile

  1. Go to Settings › Business profiles and open the profile.
  2. Under Card payments, choose the Payment account.
  3. Set the Card statement name: 2 to 10 letters or digits the customer sees on their card statement.

From then on, estimates from that profile can ask for the deposit online, and invoices get a Pay now button.

Options

  • Send a receipt automatically for card payments: the customer gets an email receipt with a PDF when the payment arrives.
  • Offer Pay by Bank: customers can pay from their banking app where it’s available. It can take a few minutes to confirm.

Good to know

  • One payment account is for one legal business: you as a sole trader, or one limited company. Trading names of the same business can share it. A limited company needs its own.
  • The money reaches your bank in 2 to 7 days. WeavaWorx takes nothing from your payments. The card fees are listed under Fees on the same screen.
  • If an account says more details are needed, or that payments are paused, customers can’t pay by card until it’s sorted. Open the account from Settings › Card payments to see what’s needed.
  • Bank transfer details stay on your invoices either way. Every change to bank details asks for your password or an emailed code, and the Owner is told.
