When a customer pays too much
If a customer pays more than the job costs, the job shows Overpaid and you choose what happens to the extra.
Choose what to do
On the job, Payments & deposits shows how much was overpaid and three buttons:
- Refund the extra: pays back only the amount over what the job costs. The job stays paid. See Refund a payment.
- Keep as credit: the extra is kept for the customer’s next job.
- It was a tip: the extra is recorded as a tip, on top of the bill.
Using the credit later
- On the customer’s next job, Payments & deposits shows how much credit they have and where it came from.
- Tap Use it here to take it off this job.
To give the credit back instead, go to Contacts, tap ⋯ on the customer and tap Pay back credit. Enter the amount and how you’re paying it back.
Tips at the time of payment
When you record a payment that’s more than is owed, the app warns you. If part of it was a tip, record the bill amount as a Payment and the extra as a separate Tip. A tip doesn’t change the balance and is counted on its own under Tips.
Good to know
- Credit kept for a customer isn’t income yet. The Reports tab on Payments shows it on its own line.
- A credit note on an invoice that’s already paid also leaves the customer in credit with you.
- Only the Owner and Office see Refund the extra.
