Invoice from more than one business
Add a business profile to invoice as a sole trader, a limited company or a second business, each with its own logo, colour and numbers.
Who can do this? The Owner and Office change business profiles. Estimators and Sales can look at them but not change them.
Your main business
Open Settings › Business profiles. The first row is your Main business. Its name, address, contact details and logo come from Settings › Account and profile, its tax number from Tax, and its accent colour and numbers from Document layouts.
Add another business
- Tap Add business profile.
- Under Who you trade as, give it a Profile name for yourself (for example “Sole trader”; customers don’t see it), then the Business or trading name.
- Fill in Contact, Address and Country.
- Under Tax & payment, add the VAT / tax number (leave it empty if this business isn’t registered) and the Payment details on invoices.
- Under Look & numbers, pick an Accent colour and check the Invoice prefix and Estimate prefix the app suggests. Both prefixes are needed.
- Add the business’s Logo at the top of the form.
- Tap Save profile.
Turn on Use for new documents on the profile you use most. It shows a Default tag in the list.
Using it on a job
- Once you have more than one business, a new job asks which one it’s from. Estimates, invoices, job sheets and plans for that job use it.
- When you send something, the From row shows the business. Tap Change to pick another.
Good to know
- Each business keeps its own numbers. Give two profiles the same prefix and they share one run of numbers.
- Under Emails on the profile, choose the name emails show as and where customers’ replies go.
- For a limited company, fill in Registered company. It prints in small print at the foot of your documents and emails.
- Deleting a profile takes it out of the list. Documents already saved keep the details they were made with.
