Roles: what each person can see and do

Each person on the Team plan has one or more roles, and the role decides what they see and do.

The five roles

Owner

Everything: every job, customer, booking, estimate, invoice and payment, supplier prices and profit, settings and the price list, the plan and billing, payment accounts, and people. Only the Owner can hand over or close the business.

Office

Everything except the plan, people, and handing over or closing the business. Office can’t change where the business’s money is paid unless the Owner switches that on.

Sales

The shop counter: all customers and jobs, booking measures and installations, estimates, deposits and payments, and making and sending invoices. Not supplier prices and profit, refunds, credit notes, canceling invoices, settings or people.

Estimator

Their measure bookings and the jobs they started or were added to: rooms, cutting plans, floor plans and stairs, and estimates with selling prices. They can book measures and use the price list. Not supplier prices, invoices and payments, other jobs, settings or people.

Installer

Only the jobs they’re booked to (installation or measure) or added to: the job sheet, cutting plan, rooms and stairs sizes, and the customer’s name, address and phone. They add photos and notes, mark jobs done and take the customer’s sign-off. No prices, estimates, invoices or payments, other customers, settings or the price list.

Two roles at once

Someone with two roles gets everything either allows. For example, an owner who also fits can add Installer to their own roles. Someone who is both Estimator and Installer sees prices on the jobs they measure or started, and fits other jobs without prices.

Change roles and switches

1. Go to Settings › Team, tap ⋯ on the person’s row and tap Change roles.
2. Check their roles.
3. Under What they can do, set Can see prices and Can create and plan jobs. They start on for Sales and Estimator and off for Installer. Owner and Office always have both.
4. Tap Save.

Good to know

• Anyone can read their own role under Settings › Your role.
• Owner, Office and Sales see the whole Calendar. If they’re booked on some of it too, Only mine shows just their own bookings, and Everyone brings the rest back.
• Office notes and office-only files on a job are seen by the Owner, Office and Sales. Installers never see them.
