Estimate, invoice and job numbers

Estimates, invoices and jobs are numbered for you, and you choose the prefix, the length and where each count starts.

Set your numbering

  1. Go to Settings › Document layouts and find Invoice & Estimate Numbering. On a phone, Settings is on the You tab.
  2. For invoices, estimates and jobs, set the prefix (for example INV-), the length (5 gives INV-00012) and the next number.

The next number can’t be lower than a number you’ve already issued with the same prefix. The job number is also used on job sheets.

Separate numbers for each business

If you invoice from more than one business profile, each keeps its own numbers. In Settings › Business profiles, open the profile and set its Invoice prefix, Estimate prefix, Next invoice number and Next estimate number. Give two profiles the same prefix and they share the same count.

Credit notes and receipts are numbered by each business too, for example CN-0001 and R-0001. Their prefixes are under Card payments on the business profile.

Change one job’s numbers

On the job, Document numbers shows the job, estimate and invoice numbers. Leave a number blank and it is numbered automatically. Use next fills in the next free number. If you type one that’s already used, the app gives the next free one and tells you.

Good to know

  • Once a job’s estimate or invoice has been sent, its number stays.
  • If two devices give out the same number while offline, the app changes one when they sync and shows Numbers changed after syncing with the old and new numbers.
