Turn an estimate into an invoice

When the work is agreed or done, convert the estimate into an invoice, or make the invoice from the job as it stands now.

Convert an estimate

  1. Go to Estimates. On a phone it is a tab at the top of Payments.
  2. Tap ⋯ on the estimate and tap Convert to invoice.
  3. The app takes you to the Invoices list, where the new invoice has its own number. Send it from its ⋯ menu.

The same Convert to invoice is in the ⋯ menu of each estimate under the job’s Documents › Estimates.

Invoice straight from the job

If the job changed on the day, for example an extra room, invoice from the job instead so the invoice matches what was fitted.

  1. Open the job and tap Documents, then Invoice.
  2. Check the Invoice Preview, the Issue Date and the Due Date.
  3. Tap Send, check the email and tap Send invoice. Or tap Save Invoice to send later.

Payments already recorded on the job, such as the deposit, are taken off what the customer has to pay.

Good to know

  • A converted estimate is linked to its invoice and stays in your history. It can’t be edited, sent or deleted.
  • Once an invoice has been sent it can’t be changed. Your changes are saved as a new invoice instead.
  • Only draft invoices can be deleted. To stop an invoice you’ve issued, use Mark as canceled so its number and history stay intact, or give a credit note.
  • Invoice emails get a View your invoice button, and Pay now when card payments are set up.

Who can do this? On the Team plan, the Owner, Office and Sales make invoices. Estimators don’t see Convert to invoice.
