The Payments page and money tabs
The Payments page shows what has come in, who still owes you and how late they are.
On a phone, tap Payments at the bottom. Tabs across the top switch between Payments, Invoices and Estimates. On a computer, each has its own item in the side bar.
The tabs on the Payments page
- Payments: every payment recorded, with totals for money received this month, deposits and tips. Filter by contact, method, currency or dates. If you take card payments, a line shows the card total, the fees and what goes to your bank.
- Jobs: each job’s balance. Filter by Outstanding, Partially paid, Paid or No payments yet, or by job status.
- Reports: Owed to you, grouped by how late it is, and Money in for a month, quarter or tax year, with the tax split out.
- Bills to pay: installers’ invoices to you, on the Team plan. See below.
Part-paid invoices
A part-paid invoice shows how much has been paid and how much is left. When the customer opens the invoice online, payments already made are taken off what they’re asked to pay. Record each payment as it comes in. See Record a deposit or payment.
For your accountant
- On Reports, tap Download CSV for your accountant. You can pick a date, such as your year end, to see what was unpaid at the end of that day.
- On Payments, tap Export and choose the CSV for your accounts package. On a phone, Export is in the ⋯ menu.
- Tax on money in is worked out from what each customer actually paid: half an invoice paid means half its tax.
Bills to pay
Which plans? Team. The Owner and Office see this tab.
- When an installer or estimator sends you an invoice, it appears under To check, compared with the pay agreed for the job.
- Open it and tap Approve, Query a line or Reject.
- Pay approved bills from your bank app, then tap Pay on the bill, or choose several and tap Pay chosen bills, and mark them paid.
If an installer’s bank details have changed since their last bill, the bill is marked New bank details. Ring them on a number you already have, not one on the bill, before you pay.
