What your customer sees on the online estimate
Every estimate email has a View your estimate button that opens a private page, laid out like the PDF, where the customer can answer you.
What the customer can do
- Accept this estimate: check any optional items they want, type their full name and check I accept this estimate and the terms.
- Read your cancellation wording above the accept button, if your business profile shows one. See Choose the cancellation terms on online estimates.
- Ask a question: it comes to you by email and shows on the estimate.
- Decline, with a reason if they want to give one.
The deposit
If the estimate asks for a deposit, the page shows Deposit to book. With card payments set up, the button reads Accept and pay with the amount, and there is a second button to accept and pay by bank transfer instead. Without card payments, the customer accepts and sees your bank details, or a note that you’ll tell them how to pay.
Ask for a signature
Go to Settings › Emails and, under Online estimates and invoices, switch on Ask for a signature. When accepting, the customer then also draws their signature in the Sign here box. Clear lets them start again. The signature goes into the acceptance record PDF. It’s optional: a typed name is enough by law.
Estimates in US dollars or US English also ask the customer to check I agree to receive and sign this estimate electronically. UK estimates in pounds don’t show this box.
What you see
Open the saved estimate to see its Online estimate status: when it was sent, how often it was viewed, and whether it was accepted, declined or questioned. You also get an email when the customer accepts, declines or asks a question.
From there you can:
- Download the Acceptance record (PDF), with the name typed, the options chosen and the terms accepted.
- Tap Extend by 14 days when the expiry date has passed, so the customer can accept online again.
- Tap Turn off the online link. The customer’s link stops working straight away. To share the estimate again, send it again.
Good to know
- “Viewed” means the customer opened the page from the email’s button. Nobody can tell whether an email was read.
- If you change the estimate after sending, the customer sees the latest version with a note that it was updated.
- The link is long and random, so nobody can guess it. The page uses no cookies or tracking.
- The button is on by default. Switch it off, or add a link to your full terms, in Settings › Emails under Online estimates and invoices.
