Set up sales tax or VAT
Set the tax name, rate and number your estimates and invoices use, and lock the books after a tax return.
Set the tax
- Open Settings › Tax.
- The blue box suggests the usual tax for your country, for example sales tax in the US (you enter your own rate) or VAT at 20% in the UK. Tap Use these settings to fill them in.
- Or fill in the fields yourself.
- Tax Name/Label: how tax is named on your documents, such as Sales Tax.
- Default Tax Rate (%): used for new jobs.
- Tax Registration Number: your tax ID, and the Tax Number Label printed next to it.
On documents
- Always apply tax by default turns tax on for every new job. Leave it off if you don’t charge sales tax.
- Show tax number on estimates and invoices prints your tax ID on them.
- Show tax number on payment receipts adds it to receipts too.
These settings are for your main business. An extra business profile has its own Tax ID on the profile.
Lock the books
When a tax return or your year end is done, lock the books up to its last day so nothing in it can change.
- At the bottom of Settings › Tax, tap Lock the books.
- Pick the date, usually the last day of the tax period or tax year you’ve just filed, and tap Lock.
Payments, invoices and credit notes dated on or before that day can’t then be added, changed or removed. To move the date, tap Change date or Unlock.
Who can do this? Only the Owner can lock, move or unlock the books.
