Terms of Service

Last updated: October 22, 2026

Who we are

WeavaWorx is operated by WEAVAWORX LTD, a private limited company registered in England and Wales with company number 17002654 and registered office at 72 Hazel Way, London, United Kingdom, E4 8RP. Contact us at support@weavaworx.com.

These terms

These Terms of Service apply to the WeavaWorx website (weavaworx.com), the web app at app.weavaworx.com, the WeavaWorx Android app from Google Play, the online estimate, invoice and payment pages the app creates for your customers, and our support. There is no iPhone or iPad app yet; on those devices you use the web app in a browser.

By creating an account, starting a trial, subscribing, accepting an invitation to a business, or using WeavaWorx, you agree to these terms. If you use WeavaWorx for a business, you confirm that you have authority to bind that business. In these terms, “you” means you and, where you act for one, your business.

The service

WeavaWorx is a job app for carpet and flooring pros. It covers jobs and customers, rooms and measurements (including measuring by voice), floor plans, staircases, cutting plans, products and price lists (including reading supplier PDF price lists), estimates, invoices, credit notes, job sheets, bookings and a calendar, photos and attachments, payment records and receipts, online estimate and invoice pages, card payments into your own Stripe account, team accounts with roles, installer invoices and CSV exports.

WeavaWorx works offline on the device and syncs your changes when you have a connection.

Your account and signing in

  • You can sign up and sign in with an email address and password, or with your Google account. Email sign-ups must confirm their address from the link we send. We may add Sign in with Apple later.
  • On the web, sign-in, sign-up and password reset include an automatic security check (Cloudflare Turnstile) to stop automated abuse. The Android app does not use it.
  • Each login is for one person. Don’t share your login; on the Team plan, each person gets their own.
  • You can be signed in on up to 3 devices. Signing in on a 4th device signs out the one used longest ago. Changes made on that device but not yet sent are kept and sent when you sign in there again.
  • You can see and sign out your devices under Settings › Devices. On the Team plan, the Owner can also sign out a member’s device. A device that is signed out has its WeavaWorx data removed from it.
  • Logging out removes the account’s data from that device. If some changes haven’t synced, the app tells you first so you can stay logged in until they have.
  • Keep your password safe and tell us promptly at support@weavaworx.com if you think someone else has used your account. The app sends you a security notice when your account signs in on a new device.

Your responsibilities

You must give accurate account, business and billing details. You are responsible for the jobs, measurements, customer records, files, emails, estimates, invoices, tax settings, cancellation terms, document terms and other content you or your team enter into WeavaWorx, and for what you send to your customers through it. You must have the rights and permissions needed to upload and use that content, including personal data about your customers, staff, installers, suppliers and site contacts, and to contact your customers by email.

Measurements and business decisions

WeavaWorx is a professional tool, but your measurements, site conditions, product choices, roll widths, waste decisions, prices, taxes and customer documents remain your responsibility. Check what the app produces before you rely on it, order materials, send documents or give prices to customers.

This includes results from Measure by voice and from reading supplier price lists, which use speech recognition and AI and can make mistakes. The app shows you the result to check before it is added to a job or price list. We do not give surveying, tax, accounting, legal or professional trade advice.

Acceptable use

You must not misuse WeavaWorx. In particular, you must not:

  • try to get round security, usage limits or the device limit, or share logins;
  • interfere with the service or other users;
  • upload unlawful or harmful content, or infringe anyone’s intellectual property or privacy;
  • use WeavaWorx to send spam or misleading messages, or to email people you have no right to contact;
  • reverse engineer the software, except where the law does not allow us to prevent this;
  • use the service in a way that could damage WeavaWorx or other users.

To protect the service and email delivery, a business can send up to 100 emails a day on Pro and Pro Plus and up to 300 a day on Team.

Plans and prices

Every plan runs the whole job. The plans differ in storage, supplier price list reading, voice minutes and how many people can sign in. Prices in pounds sterling are:

PlanMonthlyYearlyIncludes
Pro£18.99£189.901 person, 10 GB storage, a one-off 10-minute try of Measure by voice
Pro Plus£28.99£289.901 person, 100 GB storage, 20 supplier PDF price lists read a month, 300 voice minutes a month
Team£59.99£599.903 people, 100 GB storage shared by the business, 20 supplier PDF price lists read a month, 600 voice minutes a month shared by the business plus 120 for each extra person
Extra office place (Team)£14.99£149.90One more person with the Office, Estimator or Sales role
Extra installer place (Team)£7.99£79.90One more person whose only role is Installer

Prices in other currencies (US dollars, euros, Canadian, Australian and New Zealand dollars, Swiss francs and Danish kroner) are on the pricing page and the plan screen. Yearly plans cost ten times the monthly price. We don’t charge VAT at the moment, so website prices include no VAT. Google Play shows the final price, including any tax Google adds, before you buy.

Launch price. For businesses that sign up on the website during our launch period, the Pro, Pro Plus and Team plan prices are lower for the first 12 months: £12.99, £19.99 and £39.99 a month, or £129.89, £199.92 and £399.89 a year. After 12 months the plan renews at the normal price. Extra places are not reduced, and the launch price is not offered through Google Play. The plan screen shows the launch price and when it ends before you pay.

Voice minutes count only the time someone is talking. They reset each calendar month, and unused minutes don’t carry over. There are no top-ups. A recording can run up to 2 minutes past the limit so you can finish.

Free trial

You can start a 30-day free trial of Pro, Pro Plus or Team on the website without a card. If you add a card during the trial, your plan starts at the end of the trial and the card is charged then, unless you cancel first. If you don’t add a card, the trial ends without any charge and the business is treated as a plan that has ended (see “When a plan ends”).

There is one free trial per email address in any 12 months. To enforce this, we keep a protected one-way code made from your email address with the trial dates, even after your account is deleted, until 12 months after the trial ends.

In the Android app, any free trial is offered through Google Play. Where one is available to you, Google Play’s checkout shows it, and how long it lasts, before you subscribe, and it follows Google Play’s rules. If the checkout doesn’t show a trial, the plan starts when you subscribe.

Paying for your plan

The plan belongs to the business, and only the business Owner can buy, change or cancel it. You can pay in one of two ways:

  • On the website: by card through Stripe’s secure checkout. Card details are entered on Stripe’s page and never reach us. You manage the plan and your card on Stripe’s billing page, opened from Settings › Subscription.
  • In the Android app: through Google Play. Google bills you, under Google Play’s terms. We use RevenueCat to check and keep track of Google Play subscriptions. Pro and Pro Plus are sold in Google Play; Team is sold only on the website.

Website subscriptions are also recorded in RevenueCat, so there is a single record of your plan wherever you paid. While a plan is active, the app won’t let you buy a second one on the website. Please don’t buy a Google Play plan for a business that already pays on the website, as we can’t stop Google charging for it.

Paid plans renew automatically for the same period (monthly or yearly) until canceled. If a payment fails, you keep access while the payment is tried again. If it still fails, access is paused until you update your payment method. A paid plan keeps working offline for up to 30 days before the app needs to check it online.

Changing your plan

On the website, moving to a bigger plan happens straight away and you pay the difference for the rest of the current period. Moving to a smaller plan happens at the end of the current paid period. Adding or removing extra places on Team is charged or credited for the rest of the period. The app tells you which applies before you confirm. Google Play plans are changed in Google Play.

Canceling and refunds

You can cancel at any time: on Stripe’s billing page for website plans, or in Google Play for Google Play plans. Canceling stops the next renewal. You keep full use until the end of the period you have paid for; after that, see “When a plan ends”.

Payments are not refunded for unused time, including when you cancel part-way through a period, delete your account or close a business, except where the law requires or we agree otherwise. Deleting your account or closing a business cancels a website plan straight away. A Google Play plan keeps renewing until you cancel it in Google Play, so cancel it there first.

For Google Play purchases, refunds must be requested through Google Play under its refund rules. For website purchases, contact support@weavaworx.com with your account email, invoice details and reason, and we will review it.

Consumers. WeavaWorx is made for businesses. If you buy as a UK consumer at a distance, you may have a 14-day right to cancel. Where you ask for immediate access to the service during that period, you may have to pay for the service provided up to the point you cancel. Nothing in these terms limits your mandatory consumer rights.

Storage

Pro includes 10 GB, Pro Plus 100 GB and Team 100 GB shared by the business, for photos, PDFs, logos, profile images and attachments. A free trade account includes 200 MB. The app warns you at 80%, 95% and 100%. When storage is full, uploads are blocked until you delete files or move to a bigger plan. Files waiting to upload stay on the device.

When a plan ends

When a plan ends (including a trial that ends without a card), everyone in the business can still open and read everything, but nothing can be changed or sent until the Owner renews. We email the Owner 30 days and 7 days before the end of this period.

If the plan isn’t renewed within 12 months of ending, the business is closed and its data is deleted 30 days later. If you want to keep anything, export it or renew before then. A free trade account that once had a paid plan is not closed; only the data that needed the paid plan is deleted, and its invoices to businesses, details and settings stay.

Leaving the Team plan for Pro or Pro Plus doesn’t delete anything: other people can no longer open the business, but their logins, roles and work stay, and they get back in if the business chooses Team again.

The Team plan

On the Team plan, the business has one Owner and can add people with the roles Office, Estimator, Sales and Installer. Roles decide what each person can see and do, for example whether they see prices or only the jobs they are on. The Team price includes 3 people, counting the Owner; more people need an extra office or installer place.

The Owner is responsible for who has access to the business’s data and what they can see. Only the Owner can invite and remove people, change roles, sign out a member’s device, manage the plan and billing, connect payment accounts, hand the business over or close it. The Owner should remove people promptly when they leave. Removing someone ends their access straight away; their work stays with the business. The business is responsible for its members’ use of WeavaWorx and for having a lawful basis to share its data with them.

  • Invitation links can be used once and last 7 days.
  • The Owner can hand the business over to another member. The request waits up to 7 days for them to accept; billing moves to the new Owner at the next renewal.
  • Closing a business cancels its website plan straight away, ends everyone’s access and deletes its data 30 days later.

Free trade accounts for installers and estimators

Installers and estimators who work for flooring businesses that use WeavaWorx can have a free trade account. It lets them take the jobs those businesses share with them and invoice those businesses. It includes 200 MB of storage. It doesn’t send emails and doesn’t include Measure by voice. To run your own jobs, estimates and customers, or to invoice anyone else, you need Pro, Pro Plus or Team. We may change what free trade accounts include, and will tell you in the app or by email before a change that takes something away.

Working for more than one business

One login can belong to several businesses, for example an installer who works for two shops. Each business’s data stays separate and belongs to that business. The calendar can show your bookings from all of them together. If you leave a business, or its Owner removes you, you lose access to its jobs at once and its data is removed from your devices. What you did for that business stays with it.

Installer invoices

Self-employed installers and estimators can invoice a business from their finished jobs, and the business’s Owner or Office checks, queries, approves and pays them. The invoice is between the installer or estimator and the business: WeavaWorx is not a party to it and does not pay or guarantee it. The installer or estimator is responsible for their invoice details, such as their bank details, VAT number or tax reference. The business is responsible for checking an invoice, and any change of bank details, before paying. If an installer has connected their own Stripe account, a business can pay them through a Stripe payment page; WeavaWorx takes nothing from that payment.

Online estimates and invoices

When you send an estimate or invoice, the app can create a private online page for your customer at app.weavaworx.com. Your customer can view and download it, accept or decline an estimate, ask you a question and, if you take card payments, pay. You can turn off a page’s link at any time, and estimate pages stop taking answers after the estimate’s expiry date.

  • Acceptance. When a customer accepts an estimate online, we keep a record for you of the name they typed, their signature if they drew one, the options and deposit they chose, the terms and cancellation wording shown, the date and time, their device’s internet address and browser, and fingerprints (hashes) of the document. A PDF of the record is emailed to the customer and to you. A drawn signature is only asked for if you switch it on.
  • US customers. For estimates in US dollars or US English, the customer must also check “I agree to receive and sign this estimate electronically”. If you deal with customers in the United States, you are responsible for any other disclosures that US electronic signature law requires.
  • Cancellation terms. Each business profile chooses what estimate pages show about canceling: your own wording (we suggest a starting text that you can change), the 14-day cancellation right for home customers in the UK and EU with a cancellation form and an option to start work sooner, or nothing. You are responsible for choosing wording that is right for your customers and complies with consumer law. Our suggested wording is not legal advice.
  • Questions. A customer’s question is emailed to your business email, with replies going straight to the customer, and appears on the record in the app.

The contract for the work is between you and your customer. WeavaWorx provides the page and keeps the record, but is not a party to that contract.

Card payments from your customers

You can take card payments, and Pay by Bank where available, from your own customers through your own Stripe account, which you connect in Settings › Card payments. Stripe checks and onboards your business and you accept Stripe’s terms with Stripe directly. Only the Owner can connect or change a payment account, unless they allow Office to manage payouts.

  • You are the merchant. Payments are made on your own Stripe account. The sale is between you and your customer; WeavaWorx is not a party to it and never holds your money. Stripe pays out to your bank on its own schedule.
  • Fees. WeavaWorx takes no fee from your payments. Stripe charges its fees to your Stripe account at Stripe’s prices; the app shows the main UK rates.
  • Pay page. Your customer pays on a Stripe-hosted payment page, opened from the online estimate or invoice, a payment link (app.weavaworx.com/pay/…) or a QR code. Card and bank details are entered only on Stripe’s page. A payment is marked paid only when Stripe confirms it.
  • Refunds. The Owner or Office can refund a card payment from the app, or you can refund it in Stripe. Stripe keeps its original fee. Refunds still work after your WeavaWorx plan ends.
  • Disputes. If a customer disputes a payment with their bank, you answer it in your Stripe dashboard. The app marks the payment as disputed and stops refunds and new payment pages for that record until it’s settled.

If you remove a payment account from WeavaWorx, we stop using it, but the account itself stays with Stripe.

Emails to your customers

Emails you send through WeavaWorx (estimates, invoices, job sheets, plans, photos and attachments, receipts, credit notes, payment reminders, estimate follow-ups, booking emails and acceptance confirmations) are sent from WeavaWorx’s email service with your business name as the sender and your chosen reply-to address. Booking emails can include a calendar invite. Payment reminders are on by default and the estimate follow-up is off by default; you can change both, and stop reminders for any customer. You are responsible for having the right to email your customers. Photos and files sent as links can be downloaded for 7 days.

Calendar feed

You can subscribe to your bookings in another calendar app with a private feed link. Anyone who has the link can see the bookings in it, including customer names, addresses, phone numbers and notes, so only share it with people you trust. You can reset or turn off the link at any time, and it stops working if you leave the business.

Data we process for you

When you or your team add personal data about your customers, staff, installers, suppliers or site contacts, your business is the controller of that data and WeavaWorx processes it on your behalf as your processor. For that data we will:

  • process it only to provide WeavaWorx and as you instruct through your use of the app, unless the law requires otherwise;
  • make sure our staff and contractors who can access it are bound by confidentiality;
  • keep it secure as described in our Privacy Policy;
  • use only the sub-processors listed in our Privacy Policy, update that list before we add or replace one, and give each one data protection terms at least as protective as these;
  • help you, where we reasonably can, to answer requests from people about their data and to meet your security, breach notification and data protection impact assessment duties;
  • tell you without undue delay if we become aware of a personal data breach affecting your data;
  • delete it when your business or account is deleted, as set out in our Privacy Policy, unless the law requires us to keep it;
  • make available the information you reasonably need to show these duties are met.

You must make sure you have a lawful basis to put the data into WeavaWorx and that your customers are told how their data is used. The app includes a suggested sentence for your privacy notice about online estimate pages.

Availability and changes

We aim to keep WeavaWorx available and accurate, but online services can be interrupted by maintenance, updates, networks, third-party providers, device issues or events outside our reasonable control. Work you do offline is saved on the device and syncs when a connection returns. We may improve, add, remove or change features where needed for security, reliability, legal compliance, provider changes or product development. If a change takes away something important you are paying for, we will tell you in advance.

Your content and exports

You keep ownership of the business content you add to WeavaWorx. You give us the rights needed to host, process, transmit, back up, secure, display and support that content so we can provide the service. You can download PDFs and export contacts, invoices, payments and estimates as CSV. Export or download anything you need before you cancel, close a business, delete content or delete your account.

Intellectual property

WeavaWorx, our software, design, branding, documentation, website content and underlying technology are owned by us or our licensors. We grant you a limited, non-exclusive, non-transferable right to use WeavaWorx for your business while your account is active and you comply with these terms.

Suspension, termination and account deletion

We may suspend or end access if you materially breach these terms, fail to pay, create security or legal risk, misuse the service, or if the law or a provider requires it. Where practical, we will give notice and a chance to fix the issue.

You can delete your account at any time in Settings, or by asking us (see Delete your account). An Owner whose business has other people must hand the business over or close it first. We delete accounts that have not been used for 2 years (1 year if they were never signed in to), after emailing you 90, 60, 30 and 7 days before. Accounts in a business with an active plan are not deleted this way.

Liability

We do not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or mandatory consumer rights. Subject to that, WeavaWorx is provided without promises that it will be uninterrupted, error-free, or suitable for every job, and we are not liable for indirect loss, lost profits, lost revenue, lost goodwill, or business interruption. We are not responsible for contracts between you and your customers or installers, or for payments made through your own Stripe account. Our total liability for claims relating to the service is limited to the amount you paid for WeavaWorx in the 12 months before the claim arose.

Privacy

Our Privacy Policy explains how we handle personal data, including the providers we use. Our Cookie Policy explains how cookies and similar technologies are used on the website.

Changes to these terms

We may update these terms when the service, our providers or the law change. We will publish the new version on this page with a new date. If a change materially affects you, we will tell you by email or in the app before it takes effect.

Governing law

These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, except where mandatory consumer law gives you the right to bring a claim elsewhere.
